Your privacy is important to us

1. Introduction

Welcome to Renew Reminder ("we," "our," or "us"). We respect your privacy and are committed to protecting your personal data. This privacy policy explains how we look after your personal data when you visit our website or use our mobile application, and tells you about your privacy rights and how the law protects you.

In short: we use your data to track your subscriptions and remind you before they renew. We do not show you ads, and we do not sell your personal data to anyone.

2. Important Information and Who We Are

3. The Data We Collect About You

We may collect, use, store and transfer different kinds of personal data about you, which we have grouped together as follows:

  • Identity Data: includes first name, last name, username or similar identifier.
  • Contact Data: includes email address and telephone number. We use these to send you the reminders you ask for, so a phone number is only needed if you turn on text message alerts.
  • Subscription Data: includes the services and bills you track, their cost, billing cycle, renewal dates, categories and any notes you add. This is the core of what the app is for.
  • Financial Account Data: if you choose to connect a bank account, includes your account and card names, account type, balances, and transaction history, supplied to us by Plaid. See section 6.
  • Payment Data: includes your Renew Reminder plan, its status and renewal date. We never see or store your full card details; payments are handled entirely by Stripe, Apple or Google.
  • Assistant Data: includes the messages you send to Remi, our in-app assistant, any voice recordings you dictate, and any receipts, bills or images you attach to a conversation. See section 7.
  • Technical Data: includes internet protocol (IP) address, your login data, browser type and version, time zone setting, operating system and platform, and other technology on the devices you use to access our service.
  • Profile Data: includes your username and password, your preferences and alert settings, and your feedback and survey responses.
  • Media Data: includes images you choose to provide from your photo library, such as a profile picture or a receipt you send to Remi. The app does not use your camera and does not ask for camera access.
  • Usage Data: includes information about how you use our website and app, such as which screens you open and which features you use.

We do not collect precise or GPS location data, and we do not collect your device's advertising identifier. Our analytics and error-reporting providers may infer an approximate region from your IP address, as described in section 8.

4. How We Use Your Personal Data

We will only use your personal data when the law allows us to. Most commonly, we will use your personal data in the following circumstances:

  • Where we need to perform the contract we are about to enter into or have entered into with you — for example, to send the renewal reminders that are the purpose of the service.
  • Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests — for example, to keep the service secure and to understand which features are used.
  • Where we need to comply with a legal obligation.
  • Where you have given us clear consent to do so — for example, connecting a bank account, connecting your calendar, or receiving marketing communications.

5. Advertising and Tracking

Renew Reminder does not show advertising. Earlier versions of our mobile app displayed ads through Google AdMob. All advertising and all advertising software has been removed from the app and the website.

As a result, we no longer collect or use your device's advertising identifier (Apple's IDFA or Google's Advertising ID), we do not track you across other companies' apps and websites, and the app no longer asks for App Tracking Transparency permission on iOS. We have no advertising partners.

We do not sell your personal data, and we do not share it for cross-context behavioural advertising. The companies listed in section 8 process data on our behalf to run the service, not to advertise to you.

6. Connecting a Bank Account

Connecting a bank account is entirely optional. The app works without it, and you can add every subscription by hand.

If you do connect an account, we use Plaid to establish the connection. You enter your banking credentials directly with Plaid — we never see them and never store them. Plaid returns a secure token that lets us read your account and transaction information; it does not allow us, or anyone else, to move money.

We use the transaction data we receive for one purpose: to find recurring charges so we can suggest subscriptions for you to track and warn you before they renew. Plaid's handling of your data is governed by its own End User Privacy Policy.

You can disconnect a bank at any time from the Accounts screen. Doing so revokes our access at Plaid and removes the connection.

7. Remi, Our In-App Assistant

Remi is the assistant inside the app that can answer questions about your subscriptions and add them for you. Using Remi is optional.

What is sent to AI providers: when you send Remi a message, the message, relevant details of the subscriptions it needs to answer you, and any file or image you attach are sent to an external AI model provider to generate the reply. We reach these providers through OpenRouter, which routes the request to the model in use.

Voice input: when you dictate to Remi, your device converts speech to text on the device itself so you can see your words as you speak. The recording is then sent once to a speech-to-text service to produce a more accurate transcript, and is not retained afterwards.

Conversation history: we store your conversations with Remi, and a mathematical representation of them, so that Remi can recall earlier context and remember preferences you have told it. You can delete a conversation at any time.

We do not use your conversations, your financial data or your documents to train AI models.

8. Third-Party Services We Use

We rely on a small number of service providers to operate Renew Reminder. They may process your personal data on our instructions, and each is bound to protect it:

  • Plaid — bank connections and transaction data, if you choose to connect an account (section 6).
  • OpenRouter and the AI model providers it routes to — processing your requests to Remi (section 7).
  • Stripe, Apple and Google — processing payments and managing your subscription to Renew Reminder. We use RevenueCat to keep your plan in sync between the app and the website.
  • Twilio — delivering text message reminders, if you enable them.
  • Resend — delivering email reminders, verification codes and account email.
  • Google Firebase — delivering push notifications to your device and managing app configuration.
  • Google Calendar — only if you explicitly connect it, so renewals can appear in your calendar. You can disconnect it at any time.
  • PostHog — product analytics, so we can see which features are used and where people get stuck.
  • Sentry — crash and error diagnostics, so we can find and fix faults.

Some of these providers operate outside your country, so your data may be transferred internationally. We may also disclose personal data where we are required to do so by law.

9. Permissions the App Asks For

The mobile app requests only the permissions it needs, and each one is optional — declining any of them leaves the rest of the app working:

  • Notifications — to deliver the renewal reminders you have set up.
  • Photo library — so you can set a profile picture or send Remi a receipt. We only receive the images you pick.
  • Microphone and speech recognition — so you can dictate to Remi instead of typing.
  • Face ID, Touch ID or device biometrics — to lock the app. Your biometric data never leaves your device and is never sent to us; your device only tells the app whether the check passed.

The app does not request access to your camera, your location, your contacts or your device's advertising identifier.

10. Data Retention

We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements. If you delete your account, we delete your personal data, including your subscriptions, transactions, bank connections and assistant conversations. We may retain your personal data for a longer period in the event of a complaint, or if we reasonably believe there is a prospect of litigation in respect to our relationship with you.

11. Security

We use appropriate technical and organisational measures to protect your personal data, including encryption in transit, hashed passwords, and limiting access to those who need it. No method of transmission or storage is completely secure, so we cannot guarantee absolute security — but if a breach affects your personal data, we will notify you and the relevant regulator where the law requires it.

12. Your Legal Rights

Under certain circumstances, you have rights under data protection laws in relation to your personal data, including the right to:

  • Request access to your personal data.
  • Request correction of your personal data.
  • Request erasure of your personal data.
  • Object to processing of your personal data.
  • Request restriction of processing your personal data.
  • Request transfer of your personal data.
  • Right to withdraw consent.

You can export your data or delete your account from your account settings in the app or on the website. For anything else, contact us at support@renewreminder.com.

13. Children's Privacy

Renew Reminder is not directed at children, and we do not knowingly collect personal data from anyone under 13. If you believe a child has provided us with personal data, please contact us and we will delete it.

14. Changes to This Policy

We may update this policy from time to time. When we do, we will change the date at the top of this page. If a change materially affects how we handle your personal data, we will tell you directly.
