How to Cancel Google Workspace

Flexible plan cancellations stop future charges immediately — no refund for the current period. Annual plan cancellations may incur charges for the remaining contract balance.

Contact Google Workspace support through the Admin console (Support → Contact Support) for billing disputes or refund requests.

After cancelling, your Workspace services continue for a short period while Google processes the cancellation. After that:

• All user accounts lose access to Gmail, Drive, Calendar, Meet, and other Workspace services.
• Custom domain email stops receiving new messages.
• Data is queued for deletion — Google provides a limited grace period but does not guarantee data retention.
• If you need to reverse the cancellation, contact Google Workspace support immediately.

Individual users can still use personal Google accounts (gmail.com) — only the Workspace organization is affected.

Microsoft 365 Business Basic ($6/user/mo) is the most direct alternative — includes custom domain email (Outlook), OneDrive, and Teams.

For email hosting specifically, Zoho Mail offers a free tier for up to 5 users with custom domain email. Fastmail ($5/user/mo) is a privacy-focused alternative.

For file storage and collaboration, Google personal accounts offer 15 GB free, and Google One provides more storage starting at $1.99/mo.

• Export ALL data first. Once your Google Workspace subscription is cancelled, your organization's Gmail, Drive, Calendar, and other data will eventually be deleted. Use Google Takeout (takeout.google.com) to export everything for every user before cancelling. This is the most critical step.
• Custom domain email stops working. If you use Google Workspace for custom domain email (e.g., name@yourbusiness.com), that email will stop working after cancellation. Set up forwarding or migrate to another email provider first.
• Only super admins can cancel. You must be signed in as a super admin to access billing settings. Regular users and delegated admins cannot cancel the subscription.
• Annual vs. Flexible plan implications. On an annual plan, you may be charged for the remaining contract balance when cancelling mid-term. On a flexible (monthly) plan, cancellation stops future charges immediately.
• Third-party resellers. If you purchased through a partner (GoDaddy, Wix, etc.), cancel through their platform — you cannot cancel through the Google Admin console.
• Consider downgrading instead. If cost is the issue, downgrade from Business Standard/Plus to Business Starter ($7/user/mo annual) instead of cancelling entirely.
